From our office in Amsterdam, GEA Live designs, produces and distributes live entertainment inspired by and in collaboration with beloved brands and IPs. Projects range from TV shows, Film and Music, with its focus on Gaming and Anime, including Avatar: The Last Airbender In Concert, Demon Slayer in Concert, Dirty Dancing In Concert and Twilight In Concert, among many others.

About the job
Are you passionate about hospitality, logistics, and live entertainment? In this role, you will be an integral part of the production team, responsible for managing all travel, logistics and hospitality arrangements for GEA Live’s productions and tours. With your energetic and proactive approach, you will gather all travel requirements for both backstage crew and onstage artists. Working closely with GEA’s travel partners, you will book all necessary arrangements, ensuring the best price and quality. You’ll also pay close attention to the unique details of live touring, such as visas and other essential documentation.
You will keep a clear overview of bookings for each production, regularly liaising with the finance team to ensure budgets are on track. Additionally, you will manage all guest tickets for each show, ensuring a seamless experience for attendees.
Beyond travel and ticketing, you’ll contribute to the overall quality of the production team by reviewing riders, assisting colleagues with day-to-day tasks, and ensuring all processes run smoothly.
This is a challenging role, ideal for a service-oriented and organized candidate with some hospitality experience, who is eager to grow and develop further in this field. In this role, you will report directly to the Associate Producers.
As the Travel and Hospitality Coordinator you will:
- Manage all hospitality arrangements, including booking hotels, flights, and ground transportation, for all touring parties.
- Plan and coordinate travel logistics for tours, ensuring seamless execution while tracking and managing hospitality budgets for all productions.
- Serve as a key point of contact, liaising with travel management companies, tour managers, and other stakeholders to ensure clear communication and smooth operations.
- Create and distribute detailed schedules for touring parties and produce comprehensive tour books to ensure everyone is well-prepared.
- Provide input on hospitality requirements for production riders, ensuring all elements are accurate and meet production needs.
- Handle guest ticketing needs, including managing guest lists, house seats, and complimentary ticket requests for each event.

- You have 1 to 2 years’ experience in a hospitality and travel coordinating role, preferably within the live entertainment industry.
- You demonstrate the ability to take direction and prioritize while juggling multiple projects at the same time and in a fast-paced, deadline driven environment.
- You pay strong attention to detail to track schedules, budgets, and requirements accurately.
- You’re a self-starter who takes full responsibility and ownership of the tasks before them.
- You are a people’s person and possess outstanding communicative skills.
- You are proficient in Microsoft Office (Outlook/Word/Excel).
- You are fluent in English (Dutch is not mandatory).
- You are available full-time and on-site in the Amsterdam office for at least 4 days per week.
- You hold a Dutch residence and/or work permit.
